II. Inputting Data into the Computer
and other Functions




1.   Uploading the Information

I. At Home Office

A. When you are done with your fields for that day, take the Palm Pilot back to your home office.

Note: This must be done everyday to ensure correct data for our Database and Maps!!!!!

B. If the home office has a computer with a Palm Pilot cradle attached to it, simply place the Palm Pilot into the cradle bottom first, and press the "HotSync" button, which is located on the base of the cradle. The information will be transferred to the main system, automatically. The whole operation should take between 5-10 minutes, maybe longer (if it takes longer than 20 minutes something is wrong.)

C. If your home office does not have a computer with a Palm Pilot cradle attached to it, you will (in the future) be able to upload via modem.

II. Using Modem

A.  To do this you must first have a modem connected to a telephone jack.

B.  Place the Palm Pilot into the cradle and turn on the Palm Pilot. Go to the main menu, press the HotSync icon.  The next screen will show two options, use the modem option icon on the right side, this will dial the number and connect to the main computer in the Hobart office.  When the HotSync is finished, a message stating “HotSync Complete” will appear at the top of the screen.  If any other messages appear on the screen, then the process did not work, simply repeat the process until the HotSync program completes correctly.

2. Checking Time and Date

A. To get back to the main screen, tap Applications at the bottom.  From there, go to the icon labeled “Prefs”.  The time and date are located there, and should be correct. If the time set screen does not appear, click the arrow at the top right corner of the screen. A List will appear.  Click on “General”. Then the screen will appear.

B. In the event that the time and date are not correct, you can change it easily.  For the time, tap directly on the time, and a Set Time screen will show up.  Use the arrows to move the numbers up and down, and press OK.  For the date, tap directly on the date, and tap on the months and days to change them.  When you are done, it will automatically change by itself. Click  “Applications” to exit.

3. Other Icons

At the bottom of the screen, there are four icons.  Applications, Menu, Calculator, and Find.

A. Applications: This is used for bringing you back to the main screen, no matter where in the program you are.

B. Menu:  When you tap this, it will bring down a list of options for you, but only in certain programs.

C. Calculator: This simply a calculator, to do quick equations.

D. Find: This is used for finding certain things in the other programs.
              Just type in a key word, and it will find all of the possible matches.

Note: Sometimes when you are using the Palm Pilot, you may accidentally push one of these buttons.  You will be kicked out of your program, but your information will be saved! Depending on which one you hit, simply press it again, and that particular screen will disappear. If that does not work hit the “Applications” button. And follow the beginning instructions again. You will not need most of these programs.

4. Maintenance

A. Screen Contrast : If the screen it too dark or too light, there is a contrast dial on the left hand side on the back. Move it to adjust accordingly.

Tip: If you hold down on the power button, the back light will light up the
        screen. This is good for use in poorly lit areas, but batteries go out faster.

B. Changing Batteries: The palm pilots batteries are located on the back panel. Pull down on the clip and lift out to remove the cover.  Notice how the batteries are placed in there. If they are turn in wrong it will erase the memory. You have 5 minutes to place new batteries in the unit before all memory is wiped out!!!!
